Create your free HubSpot account

Go to hubspot.com/free-crm and sign up with your work email. During onboarding, select your industry and team size. HubSpot will suggest the right tools — for pure CRM, select "Sales" as your primary use case.

Import your contacts

Go to Contacts → Import. HubSpot accepts CSV files. Map your columns during the import — it auto-detects most standard fields. For best results, import with at least: First Name, Last Name, Email, Company, Phone.

⚠️ Do not import your full contact database on day one. Start with active prospects only — contacts you've spoken to in the last 90 days. A clean small database beats a bloated dirty one.

Configure your sales pipeline

Go to Sales → Deals → Manage Pipelines. The default pipeline works for most teams. Rename the stages to match your actual sales process. For B2B SMB, this structure works well:

Connect Gmail or Outlook

Settings → Integrations → Email Integrations. Connect your work email. This lets HubSpot log all emails to/from contacts automatically, and gives you the "Log to HubSpot" checkbox in your inbox with open/click tracking.

Create your first email sequences

Sales → Sequences → Create Sequence. A sequence is a series of timed emails (and tasks) sent from your personal inbox — it feels like a personal email, not a mass blast. Use for cold outreach or following up on proposals.

💡 Sequences in HubSpot Free are limited to 5 active sequences. That's enough for: cold outreach, post-meeting follow-up, proposal follow-up, win-back, and referral ask.

Set up your booking link and share it everywhere

Sales → Meetings → Create Meeting Link. Set your availability, connect your calendar, add a buffer between meetings. Share this link instead of back-and-forth emails. Put it in your email signature, LinkedIn bio, and website contact page.

Invite your team and set up notifications
