HubSpot Free CRM
Setup in 1 Hour
From zero to a working sales pipeline with contacts imported, deals tracked, and email sequences live — the exact setup for teams of 2–15 who want CRM without the complexity.
More than enough to run a real sales team
Most people don't realise how much HubSpot gives away for free. You don't need to pay until you need advanced automation or reporting. For teams under 15 people, the free tier covers everything.
From zero to live pipeline in 1 hour
Go to hubspot.com/free-crm and sign up with your work email. During onboarding, select your industry and team size. HubSpot will suggest the right tools — for pure CRM, select "Sales" as your primary use case.
Start HubSpot Free →Go to Contacts → Import. HubSpot accepts CSV files. Map your columns during the import — it auto-detects most standard fields. For best results, import with at least: First Name, Last Name, Email, Company, Phone.
First Name, Last Name, Email, Phone
Company Name, Job Title, Website
Lifecycle Stage ← Lead / MQL / Customer
Lead Status ← New / Contacted / In Progress
Deal Stage ← optional, for active pipeline
Notes ← any context per contactGo to Sales → Deals → Manage Pipelines. The default pipeline works for most teams. Rename the stages to match your actual sales process. For B2B SMB, this structure works well:
Settings → Integrations → Email Integrations. Connect your work email. This lets HubSpot log all emails to/from contacts automatically, and gives you the "Log to HubSpot" checkbox in your inbox with open/click tracking.
✓ Emails sent to known contacts → logged to contact timeline
✓ Email opens → timestamped notification
✓ Link clicks → tracked per link
✓ Meeting bookings → auto-created activity
→ Install the Chrome extension → "HubSpot Sales" for Gmail
→ Or the Outlook add-in → same features for Office 365Sales → Sequences → Create Sequence. A sequence is a series of timed emails (and tasks) sent from your personal inbox — it feels like a personal email, not a mass blast. Use for cold outreach or following up on proposals.
# Trigger: manually enrol a contact after a meeting
Day 1: Email "Thanks for the call — next steps"
Day 3: Task Call reminder — check if proposal received
Day 7: Email "Quick check-in" + case study link
Day 14: Email "Still interested?" — simple reply request
Day 21: Task Final call attempt — mark as lost if no reply
# Sequence auto-pauses when contact repliesSales → Meetings → Create Meeting Link. Set your availability, connect your calendar, add a buffer between meetings. Share this link instead of back-and-forth emails. Put it in your email signature, LinkedIn bio, and website contact page.
Settings → Users & Teams → Invite Users. Free tier allows up to 5 users with full CRM access. Set up task notifications in Settings → Notifications so reps get alerted when a prospect opens an email or visits a tracked link.
